Why your employees are still filling in documents manually (and how to stop it)
    9 March 2026 by
    SoftAdvice BV, SoftAdvice Marketing

Every day, employees open M-Files, read data, open Word, and type everything out. Five minutes per document. Ten documents per day.

And somewhere in that process, an error creeps in that causes problems weeks later.

The real problem is not the document itself.

Companies that use M-Files have their information well organised. Metadata is correct. Files are findable. Workflows are running. But then comes the moment when someone has to prepare a quote, a contract, or a report. And then the copying work begins.

Customer name from M-Files, address from M-Files, reference number from M-Files. Everything is manually retyped into a Word template. Sometimes it is correct. Sometimes it is not. And no one notices until the document has already been sent.

The cause: data and documents exist in two different worlds.

M-Files manages your information. Word manages your documents. But there is no bridge between the two. The result is that people become the bridge themselves. They copy, paste, check. Every time again.

This is not a problem of discipline or attention. It is a structural problem. And structural problems are solved with a structural solution, not with an extra check or a checklist.

dox42 builds the bridge between M-Files and your Word templates.

dox42 is a document generation platform that automatically fills your existing Word and Excel templates with data from M-Files. You build the template once in Word, you mark the fields that need to be filled in automatically, and dox42 does the rest.

The result: an employee selects an object in M-Files, chooses the template, clicks on generate. Within 30 seconds, the document is ready, correctly filled in, saved in the right location, and linked to the correct file.

For which documents do customers use this most often?

dox42 works for any type of business document where data from M-Files determines the content. The most common applications:

    • Quotes and contracts for customers, automatically filled in with name, address, reference number, and prices from the file.
    • Employment contracts and HR documents with personal data directly from the personnel file.
    • Inspection and compliance reports based on technical field data from M-Files.
    • Invoices and credit notes generated from project data without manual input.

Any document that is currently filled in manually from M-Files data can be generated automatically tomorrow.

    What does practice say?

The Republic and the Canton of Jura (RCJU) in Switzerland uses the dox42 integration with M-Files for over 400 documents. What used to take hours now takes seconds. And every document is correct, every time.
