Deliverables management without Excel chaos: one register for every vendor, discipline and milestone
Replace spreadsheets and loose folders with one central Master Deliverables Register built on placeholders. Real-time status, vendor follow-up and audit-proof handover included.
Illustrative example
In short
Deliverables management in M-Files replaces Excel deliverable lists with one Master Deliverables Register. Every contractual deliverable gets a placeholder with discipline, vendor, milestone and due date; revisions, comments and approvals attach to it automatically, dashboards show delays per vendor and discipline, and handover packs are compiled per area, system or vendor. SoftAdvice sets it up on M-Files.
Deliverable lists that are never up to date
Excel registers go stale fast, vendors deliver through every channel and handover becomes a stressful sprint. Nobody sees at a glance what was promised, delivered, delayed or approved.
Today
- Several versions of the deliverables list in circulation
- Manual, error-prone status updates
- Vendor delivery by mail, portals and file transfer
- No central view of backlogs and risks
- Handover takes weeks
What you want
- One source of truth instead of spreadsheets
- Clear responsibilities and deadlines
- Direct insight into vendor performance
- A predictable handover instead of last-minute chaos

Frequently asked questions
What is a placeholder?
A placeholder is an object in M-Files for a deliverable that is expected but not yet delivered, with its discipline, vendor, milestone and due date. When the vendor delivers, the document and its revisions attach to it.
Can vendors deliver directly into M-Files?
Yes, through a secure portal or upload link, so deliveries no longer arrive by e-mail or file transfer.
Can we import our current deliverables list?
Yes. We use your current lists as the starting point and turn them into placeholders.
How does this connect to transmittals and as-built files?
They share the same metadata. A transmittal refers to the deliverables it contains, and approved deliverables flow into the as-built file.
One M-Files foundation, four specialisations
Document control, transmittals, deliverables and as-built files share the same metadata, so they reinforce each other.
