Process and information architects since 2010
Every document found in under 5 seconds. Data your AI can trust.
We design how information flows through your organisation: processes and metadata first, then the platform. For accountancy, engineering and every firm where a document has to hold up in an audit.

Where does it hurt today?
"I know it exists. I just can't find it."
One search. The right version, with the right permissions.
"My team costs €60 an hour to forward e-mails."
Workflows route every document to the right person. dox42 generates the standard ones.
"The auditor is at the door. I can't find anything."
Every version, approval and access is logged. You show the trail instead of rebuilding it.
"Copilot invented a contract that never existed."
Structured data with the right permissions, so AI answers with sources.
Metadata first. Then the platform. Then AI.
Folders were never an information architecture. They copy the org chart of ten years ago, and AI now reads straight through them. We start with your processes and the metadata that describes them. The software follows.
Process before tool
Metadata before folders
Governance before AI

Questions we hear every week
What does SoftAdvice do exactly?
SoftAdvice offers four service lines. Process consulting maps information flows and designs the metadata architecture before any configuration. Implementation delivers a working M-Files vault, with the commitment of a first process live in 30 days. Integrations connect M-Files to Microsoft 365, SAP, Salesforce, Penneo for e-signing and dox42 for document generation. Success Services provide ongoing adoption coaching and optimisation after go-live.
Which industries does SoftAdvice serve?
SoftAdvice focuses on knowledge-intensive organisations: accountants and audit firms, engineering and construction companies, HR departments in mid-market organisations, and growing companies with increasing document and compliance needs. Reference clients include Moore, Indaver, Ethias, Theuma, Jura and CIBOR.
How long does an M-Files implementation with SoftAdvice take?
SoftAdvice commits to a first process live within 30 days for a standard M-Files implementation. The method has three phases: a process and information analysis (QuickScan), M-Files configuration with Microsoft 365 integration, and a guided go-live with adoption coaching. No upfront data migration is required.
Is M-Files compliant with GDPR, ISO and audit requirements?
Yes. M-Files provides the technical foundation for GDPR, ISO 9001, ISO 27001 and VCA compliance through automatic audit trails, metadata-driven access rights, mandatory version control and configurable retention rules. SoftAdvice configures M-Files around the compliance standards that apply to each client.
Can I use AI on my documents?
Yes. M-Files Aino is the built-in AI assistant that works only on your own documents inside the secured M-Files vault, with full respect for existing access rights, and it cites the source document for each answer. SoftAdvice first checks the document structure, so the data is AI-ready before Aino is activated.
How do I contact SoftAdvice?
