ValidSign integrationValidSign and M-Files: send, sign and file without leaving your document process
ValidSign is a European e-signature platform with simple, advanced and qualified signatures under eIDAS. Signers confirm their identity with methods such as an SMS code, iDIN or DigiD, and M-Files files the signed document and its audit trail in the right file.
Illustrative example
In short
ValidSign is a European e-signature platform that offers simple, advanced and qualified electronic signatures under eIDAS, hosted in the EU. Integrated with M-Files, a signing flow starts from the document in M-Files, status, reminders and signing order are tracked there, and the signed version plus the signing evidence return automatically to the right file with metadata. SoftAdvice installs and configures the integration.
One platform for every signature level, hosted in Europe
ValidSign lets you choose the signature level per document: a simple signature for routine approvals, an advanced one for contracts, and a qualified one where the law or the stakes demand it. Data stays in EU data centres, and every action is logged in an audit trail that resists tampering.
- Identity checks to match the risk: e-mail, SMS code, iDIN, DigiD, eHerkenning or a qualified certificate
- Flexible signing flows: with a fixed order, without one, or a mix of both
- Built for volume: templates with preset signers, fields and reminders, plus bulk sending

M-Files stays the source of truth, ValidSign handles the signature
You do not switch tools or re-upload files. The signing request starts and ends inside M-Files. SoftAdvice configures the integration once; your team simply uses it.
Start from M-Files
Pick the document, choose the signers and their role (client, internal, external) and start the signing flow with one click.
Status, reminders and order
Track who signed, who is still pending and which steps are queued. Signing order and automatic reminders are set per flow.
Audit-proof file
The signed version and the signing evidence return automatically to the right file in M-Files, with the right metadata.
Where ValidSign and M-Files pay off fastest
Accountancy
Engagement letters and annual reports sent in bulk from the client file, each signed copy filed back with its audit trail.
HR and payroll
Contracts and payroll forms from a template with preset fields, signed by the employee and filed in the personnel file.
Legal, notary and real estate
Qualified signatures with a verified identity for agreements where the stakes are high, linked to the matter in M-Files.
Frequently asked questions
Are ValidSign signatures legally valid?
Yes. ValidSign offers simple, advanced and qualified electronic signatures under eIDAS. A qualified signature (QES) has the same legal value as a handwritten signature in the EU. Which level you need depends on the document; we help you decide.
How do signers prove who they are?
ValidSign supports several methods, from an e-mail link or SMS code to bank-based iDIN, DigiD, eHerkenning and qualified certificates. You set the method per signer, in line with the risk of the document.
Where are the signed document and the evidence stored?
Both return automatically to the right file in M-Files, with the right metadata, so the file is complete for audits. On the ValidSign side, data is hosted in the EU.
Can we set a signing order and reminders?
Yes. A flow can run in a fixed order, without order or as a mix, and reminders are set per flow. You follow the status in M-Files.
Do we need a ValidSign licence?
Yes, signing runs on your own ValidSign account. We advise on the right setup.
